How to Use Mobile Picking.

On the mobile device, log in to Accctivate > Sales Order > Picking > select/scan the Sales Order > update picked quantity > press the check mark when finished > select the Workflow Status > press the check mark to submit order

Android Mobile

During picking, while on the "Line #1 of 5" (for example) screen, use the up or down arrows to move to the next or previous line, or go back to view the entire order.

Pick sales orders

Before picking sales orders, refer to the mobile order picking options:

  1. After logging into the app, click Pick on the main screen.
  2. A list of orders available to pick will be displayed. This list can be further filtered by clicking the funnel filter icon in the upper right hand corner:

    • Branch: Tap the Branch filter to see only sales order of a certain Branch.
    • Workflow Status: Mobile picking can only include sales orders which have the following workflow status: Ready to Pick, Pick in Progress, Pick on Hold.
    • Req Date: The requested ship date field will default to the device's system date. Sales orders with a requested ship date on or before this date will be displayed. After modifying your filters, click the back arrow in the upper left hand corner to return to the list of orders which will refresh.
    • If more orders exist than can be displayed, you will see a Load more button which displays more orders.
  3. To select an order for picking, you can scan a barcoded order number, click on an order, or type in all of the order number in the "Order Number" field and press enter.
  4. Once you've opened a sales order for picking, the workflow status of the order will automatically update to Pick in Progress.
  5. The Details tab will show the Product ID and the picked quantity out of the total quantity to pick (the scheduled quantity). Below the Product ID you will see the warehouse location (if using warehouse locations).

    • To pick a standard control product (not lot or serial numbered):
      • Scan the product's barcode to increment the quantity by one. Alternatively, click on the product to select that order line and then use the device's touch screen to type they quantity picked in the Picked field.

    • To pick a lot or serial control product:
      • If the barcode you are scanning is a GS1-128 barcode encoded with the Product ID and Lot/Serial number, you can perform a single scan on this screen, which will add the lot and increment the picked quantity.
      • If your barcode that only contains the Product ID, scanning the barcode will open that order line (for example, Line #1 of 5). On this screen scan a lot/serial barcode.

      • If you don't have a lot/serial barcode to scan, press the "#" button (in the product interface) to open the Add/Edit Lot/Serial # screen and select a lot/serial number. This screen allows you to enter the lot/serial #, lot/serial location, quantity Picked, view/edit the lot/serial Expiration, view/edit the lot/serial Reference and Specification information.

          • After selecting a lot/serial number, click the devices back button or use the back arrow in the upper left hand corner to return to the previous screen.
          • To add another lot/serial number, click the "#" button again.
      • To delete a selected lot, long press the lot/serial number on the "Line #1 of 5" screen until the Delete button appears.
  6. On the Pick Order screen, there are two additional tabs:
    • Info: Includes Bill To and Ship To information.
    • Notes: The Notes tab lists all notes found on the Notes tab of the Enter Order window. You can add a note by clicking ADD NOTE.
  7. Once you have completed picking an order or if you want to save your progress (to resume the pick at a later time), you will submit the order by clicking the checkmark in the upper right-hand corner.
  8. On the Submit Order screen, you can choose to put the sales order in a workflow status of Picked or Pick on Hold. Optionally, if mobile printing is configured, you can print a Packing List and address labels.

    • Picked: If the order is submitted with a workflow status of Picked, the scheduled quantities on the sales order will update to match the picked quantities. The quantities that could not be picked will added to the backorder field. The sales order will now have a workflow status of Picked in Acctivate.
    • Pick on Hold: If the order is submitted with a workflow status of Pick on Hold, Acctivate will not update the quantities on the order, but the quantities you have picked to this point will be remembered by Acctivate mobile. This will allow you to resume picking this order where you left off. The sales order will now have a workflow status of Pick on Hold in Acctivate.
  9. Click the arrow in the upper right hand corner to submit the order and you will be returned to the order list.

Pick picklists

During picking, while on the "Line #1 of 5" (for example) screen, use the up or down arrows to move to the next or previous line, or go back to view the entire picklist.

To begin picking a picklist:

  1. After logging into the app, click Pick on the main screen.
  2. The list of picklists will default to the warehouse you last filtered on. Click the funnel filter in the upper right hand corner to change the warehouse, or the circle icon to refresh the list.

  3. Scan, type in a picklist ID, or click on a picklist to open it.
  4. The Details tab will show the Product ID and the picked quantity out of the total quantity to pick (the scheduled quantity). Below the Product ID you will see the warehouse location. You can also toggle the Hide picked details slider to hide or show lines that have been picked in full.

This screen allows you to enter the lot/serial #, quantity Picked, view/edit the lot/serial Expiration, view/edit the lot/serial Reference and Specification information.

        • To add another lot/serial number, click the "#" button again.

    • Picklists automatically select the most efficient location to pick from, however, you can change the location you are picking from or split the picklist line into different locations. While on the "Line #1 of 5" screen:
      • Press the pencil icon to edit the location for the picklist line. You can scan, type in, or lookup the location this line will be picked from.
      • After picking some of the quantity from the current location, click the map pin/+ icon to split the remaining quantity. This will open a screen where you can scan, type in, or lookup the location that the remaining quantity will be picked from. Once you select a location, it will split the remaining quantity to pick into a new picklist line.
  1. On the main Pick screen, there is an Info tab. The info tab shows information about the pick, orders included in the pick, and a layout of the warehouse.
  2. Once you have completed picking an picklist or if you want to save your progress (to resume the pick at a later time), you will submit the picklist by clicking the checkmark in the upper right-hand corner when on the main Pick screen.
  3. On the Submit picklist? screen, choose an option:
    • **Pick complete": This will complete the picklist and you will return to the main picklist lookup screen.
    • Reopen Picklist: This will return you to the picklist to continue editing.
    • Pick On Hold: This will submit the picklist with a Pick On Hold status allowing you to continue picking at a later time.

Note: The screen shots below are from the mobile emulator rather than a physical handheld device.

Pick Sales Order

  1. Log into the Acctivate company and press the Sales Order icon

  2. To pick a sales order, press the Picking icon

  3. This opens the Order Picking screen where the user can choose filters to show specific orders or they can scan the barcode on the order form to pull up the specific Sales Order. The following options are available when selecting the order manually:
    1. Branch – If you have multiple Branches setup in Acctivate for your different store locations, the user can select their specific Branch to only see orders pertaining to that location.
    2. Req. Date – Based on Requested Date of the Sales Order
    3. Workflow Status – Pulls from the Workflow Status on the Sales Order. By default, a combination of the Workflow Status specifications. (Please Note: Only orders in workflow statuses of "Ready to Pick," "Pick on Hold," or "Pick in Progress" will appear in mobile picking.)
    4. Page # – There could be multiple pages of orders ready to pick. Use this toggle to go through each page or specify a specific page.
  4. If you scanned the order, skip this step. Once you’ve specified the necessary filters, select the order you wish to pick by highlighting the order and pressing the Right arrow on the top of the screen.

  5. The product will be selected based on Product ID, Alternate Product ID, and UPC. With the order open, the user has 4 options to select the item:
  6. Manually select the line and enter the quantity
  7. Scan the item one time with the option to Pick complete sales order by default checked in Configuration Management > Mobile > Order Picking
  8. Scan the item repeatedly until you’ve scanned it enough times to pick the number of items
  9. Scan the item and toggle the Picked quantity
  10. If you are using Lot or Serial Numbers, the user can scan the Product ID. When choosing the items manually, select the specific item and press the # button on the screen. This brings up the Lot/Serial lookup window where the user can scan this information. Continue to select or scan Lot/Serial numbers until you’ve fully picked the quantity you need.

  11. Press the Green check on the top left hand side of the screen to go back to the Order Picking window after selecting the Lot/Serial information

  12. Once all the items you wish to pick have been processed, click the Green check at the top of the Order Picking window. This brings the Submit Order? window into view where the user can select a Workflow status for that order, as well as printing the Pack List and Shipping Labels.

    Pick Picklists

    To begin picking a picklist:

    1. Click Sales Order on the main menu.
    2. Click Picking.
    3. Use the menu to determine which picklist you will pick:
      • Pick oldest: The oldest picklist, based on created date, will be opened. You can choose which warehouse you are picking for.
      • Choose from list: You can choose which warehouse you are picking for. The next screen will display a list of all picklists for that warehouse. The list will display the picklist number and created date.
      • Enter picklist ID: You can scan a picklist barcode or lookup and select a picklist.
    4. Once you've selected a picklist, the picklist's status will change to In Progress.
    5. A list of the picklist details will display. In the upper right-hand corner, click the information icon to see info about the picklist including the orders included and a map of the warehouse. Scan a product barcode or click on the product to pick it.
      • To pick a standard control product (not lot or serial numbered):
        • Scan the product's barcode to increment the quantity by one or click on the product to select it and then use the device's touch screen to type in the Picked quantity field.
        • Picklists will determine the best location to pick from, but you can change the location by using the magnifying glass lookup icon next to the location field to open the location screen. Here, you can scan a GS1-128 barcode containing "99" application identifier and location or you can search a list of locations.
      • To pick a lot or serial control product:
        • Scan the product's barcode or use the touchscreen to select the product ID. Click the "#" symbol next to the quantity field.
        • In the lot/serial entry window, you can scan a barcode containing a lot or serial number. With one scan, Acctivate can read a lot/serial number and weight from a GS1-128 with supported application identifiers. You can use the Lot # or Serial # lookup to select the lot/serial numbered picked and enter the quantity picked (serial numbers can only have a quantity of 1 per control number). For numbered when invoiced products, you can also enter the lot/serial expiration date (can be read from a GS1-128 label), lot/serial reference, lot/serial specification (click the notepad icon to open the text field full screen), and weight (if a catch weight configured product. Can be read from a GS1-128 label). If typing this information in, use the device's "Enter" button to save the lot/serial information and repeat the process again for additional lot/serial numbers for this picklist line. If you need to edit a lot/serial number, click on the lot/serial number in the list below and then edit the fields. To delete a lot or serial number, click on the lot/serial number and then click the Menu button at the bottom of the screen; choose Delete Line.
        • Once the lot/serial numbers for this picklist line have been entered, click the back arrow in the upper left-hand corner to return to the picklist details. Alternatively, use the up and down arrows in the upper right-hand corner to move to the next or previous picklist line.
    6. If the Hide picked details option is enabled, picklists lines which have been picked in full will be hidden. To see them, simply uncheck this option.
    7. Once you have picked all the picklists lines, click the arrow in the upper left-hand corner to Submit the picklist. You will have four options to choose from:
      • Pick Complete: This option will mark the Picklist as Picked. The related sales orders will also be updated to a Picked status.
      • Reopen Picklist: This option will return you to the picklist. The previously entered picked quantities will remain allowing you to modify make changes.
      • Pick on Hold: This option will save the picked quantities of your picklist but close the picklist. This allows you to return to the picklist later to continue the pick.
      • Discard Changes: This option will revert any changes you've made to the picklist, including the quantities picked. Only use this option if you do not want to save the data you just entered into the picklist.
    8. After selecting one of the above options, click the green checkmark in the upper right-hand corner (for the first three options) or the undo icon in the upper right-hand corner (for the Discard Changes option).
