Can I change an inventoried product in Acctivate to a non-inventoried product?

Acctivate does not allow changing an inventoried product with existing transactions to non-inventoried. Learn how to adjust its inventory to zero instead.

In Acctivate, product types are defined as either Inventoried or Non-Inventoried.
Once an Inventoried product has any transactions recorded (such as receipts, adjustments, or sales), it cannot be changed to Non-Inventoried.

This restriction exists because changing the product type would affect historical inventory transactions and financial data linked to your general ledger.


Why the Product Type Can’t Be Changed

  • Acctivate tracks inventory quantities, costs, and value for inventoried items.

  • Once transactions exist, the item’s activity becomes part of your inventory and accounting history.

  • Changing to “Non-Inventoried” would remove inventory tracking fields and break links to those historical records.

For this reason, Acctivate locks the Product Type once inventory activity has been posted.


Recommended Workaround

If the product will no longer be stocked and should now be treated as shop supplies or non-inventoried, follow these steps:

  1. Zero out the inventory quantity and value

    • Go to Inventory → Adjustments → Balance Adjustment.

    • Create a new balance adjustment for the product.

    • Enter the current on-hand quantity as a negative adjustment to bring the quantity to zero.

    • Verify that the Extended Value reduces the item’s total inventory value to zero.

    • Post the adjustment.

  2. Make the product inactive (optional)

    • Open the product in Inventory → Product Information.

    • Check Inactive if you no longer want users to select this product for new transactions.

    • Save your changes.

  3. (Optional) Create a new non-inventoried item

    • To continue tracking usage as a supply or expense, create a new product with a similar description.

    • In Product Type, select Non-Inventoried.

    • This new item can be used for future purchases or internal shop use.


Expected Result

The original inventoried product’s quantity and value are zeroed out, preserving historical data, while new non-inventoried items can be used for future transactions.

Actual Result (Before Fix)

Attempting to change an inventoried item with transactions to non-inventoried results in the product type field being locked and uneditable.
