Setting up and using Substitutions for Components on Kit products

Learn how to set substitutions for Kit (Custom) product components and apply them on sales orders in Acctivate.

Substitutions allow you to replace one component of a Kit (Custom) product with another product during the sales order process. This is useful if a component is out of stock, discontinued, or has an alternative option available.

Follow these steps to set up and use substitutions:

Step 1: Enable variable component on the Kit

  1. Find/search for and select your Kit (Custom) product in the Product List window.

  2. Click Edit at the top of the window.

  3. Click the Components tab.

  4. Find the component in the grid and check the Variable box on that line.

    • This allows substitutions and adjustments for that component when the Kit is added to a sales order.

  5. Save your changes.

Step 2: Define substitutions for the component product

  1. Find/search for and select your component product in the Product List window.

  2. At the top of the window, click Create > Substitution, or press Ctrl + Shift + S

  3. Add the substitution product(s) that can be used in place of the original component.

  4. Click the Save & Close button or press Ctrl+S.

Step 3: Apply a substitution on a sales order

  1. Create a new Sales Order and add the Kit (Custom) product.

  2. Select the Kit line on the order and click the Components button to open the Kit Components window.

  3. Highlight the component product you want to substitute.

  4. Click the Substitutions button at the top.

  5. Choose the substitution product you previously set up and click Substitute to update the Kit on the sales order.

Expected Result

The substituted product will appear as part of the Kit in the Components window on the sales order, ensuring the correct items are allocated and fulfilled.
