How do I track a blanket sales order where multiple orders will be shipped over time?
Learn how to manage and track a blanket sales order in Acctivate when multiple shipments will occur over time.
A blanket sales order is an agreement where a customer places a large order that is fulfilled in multiple shipments over a period of time. Since Acctivate does not have a dedicated "blanket order" feature, users can manage this scenario by creating an initial sales order and generating subsequent release orders as shipments occur.
Steps to Track a Blanket Sales Order in Acctivate:
-
Create the Initial Sales Order (Master Order)
-
Go to Sales > Enter Sales Order and create a new order.
-
Enter the total quantity that the customer has committed to purchasing.
-
Set the Order Status to Booked to prevent immediate fulfillment and product from being included in your backorder report as well as the Reorder Wizard.
-
Add any relevant Notes in the order regarding the blanket order agreement.
-
-
Create Release Orders for Each Shipment
-
When the customer requests a shipment, go to Sales > Enter Sales Order.
-
Create a new sales order for the quantity to be shipped.
-
Reference the original blanket order number in the Customer PO or Order Notes field for tracking purposes.
-
Allocate inventory and process the order as usual.
-
-
Track Remaining Quantities
-
Regularly check the Sales Order Management screen to monitor the unshipped quantities.
-
You may also use custom order statuses or order reports to track remaining balances and shipments made.
-
-
Close the Blanket Order When Fulfilled
-
Once all release orders have been fulfilled and invoiced, manually close the original blanket order.
-
If needed, update Order Notes with final fulfillment details for reference.
-
Additional Tips:
-
Use Customer PO numbers consistently for easy reference between blanket and release orders.
-
Consider setting up custom reports to track blanket order fulfillment over time.
-
If needed, use Scheduled Orders for recurring shipments to automate releases.
